Terms & Conditions

Effective: 17 June 2026. Draft pending solicitor review.

1. About these terms

These terms govern your use of the StableFlow platform operated by Stableflow ltd (“StableFlow”, “we”, “us”). By creating an account you agree to be bound by these terms. If you are entering into these terms on behalf of an organisation, you confirm you have authority to do so.

2. The service

StableFlow is a software as a service platform for equestrian businesses including riding schools, livery and boarding yards, rescue centres, trekking centres, clubs and show organisers. The service is provided on a subscription basis and is accessed through the StableFlow website and apps.

3. Free trial

New accounts receive a 14 day free trial of the platform with full access to features appropriate to the chosen tier. No card is required to start a trial. If you do not upgrade to a paid subscription within the trial period your account will be paused and, after a further 30 days, deleted.

4. Subscriptions and billing

  • Subscriptions are billed monthly in advance. Annual billing is available on request.
  • Prices are shown on our pricing page and may be displayed in your local currency.
  • Payment is processed by our payment partners Stripe and GoCardless.
  • You authorise us to charge your nominated payment method for the recurring fee.
  • Failed payments will trigger our dunning process. Repeated failure may result in suspension.
  • We may change prices on 30 days' notice. You may cancel before the new price takes effect.

5. Cancellation

You may cancel your subscription at any time from your billing settings. Cancellation takes effect at the end of the current billing period. You will retain access to the platform until that date. We do not provide pro rata refunds for partial months unless required by law.

6. Acceptable use

You agree not to:

  • Use the platform for any unlawful purpose.
  • Attempt to access another customer's account or data.
  • Reverse engineer, scrape or copy the platform.
  • Upload malware, send spam or attempt to disrupt the service.
  • Use the platform to send unsolicited marketing communications without consent.
  • Resell the platform or sub license access without our written agreement.

Material breach may result in immediate suspension or termination without refund.

7. Your data

You retain ownership of all data you upload to the platform. We process your data in accordance with our Privacy Policy. You grant us a limited licence to use your data solely to provide and improve the service.

You are responsible for the lawful basis for processing personal data of riders, families and other end users. The platform acts as a processor for that data.

8. Service availability

We target 99.5% uptime measured monthly. Planned maintenance will be announced in advance where practicable. We are not liable for downtime caused by third party infrastructure providers (such as our hosting partner) beyond our control, force majeure events or your own connectivity issues.

9. Intellectual property

StableFlow and all related software, branding, designs and content are owned by Stableflow ltd. These terms do not grant you any IP rights other than a limited right to use the platform during your subscription.

10. Liability

To the extent permitted by law, our total aggregate liability for any claim arising out of these terms or your use of the platform is limited to the fees paid by you in the 12 months preceding the event giving rise to the claim. We are not liable for indirect or consequential losses, loss of profit, loss of goodwill or loss of data caused by your failure to maintain reasonable backups (where applicable).

Nothing in these terms limits liability for death or personal injury caused by negligence, fraud or any other liability that cannot be excluded by law.

11. Termination

We may terminate or suspend your account for material breach of these terms, non payment, or where required by law. On termination you will lose access to the platform. We will retain your data for 30 days to allow export before deletion.

12. Changes to terms

We may update these terms. Material changes will be communicated by email at least 14 days before they take effect. Continued use after the effective date constitutes acceptance.

13. Governing law

These terms are governed by the laws of England and Wales. Disputes will be subject to the exclusive jurisdiction of the courts of England and Wales, except where mandatory consumer protection law gives you a right to a different forum.
